Express Records is a medical record retrieval service that works on behalf of law firms to obtain medical and billing records.

We act as an authorized third party, following all federal and state regulations in line with 45 CFR § 164.508 & 164.524. All requests we send out are valid individual right of access requests or valid HIPAA-compliant authorizations in accordance with the patient or their legal representative.

We are working on behalf of a law firm representing a patient who received care at your facility.

Our role is to streamline the request process by ensuring all required documentation is submitted correctly and by handling follow-up communication.

Yes. We follow all federal and state regulations. If you feel something is not right please let us know and we will work with the patient and their representation to get it fixed. In some cases we may clarify why we feel you are misunderstanding the laws. 

If you ever need additional documentation or clarification, we respond quickly to ensure compliance.

Each request includes:

  • A signed patient authorization or a signed individual right of access letter by the patient
  • Patient identifying information
  • Specific records being requested
  • Our contact information

We accept records through:

  • Secure email, send to mail@expressrr.com
  • Fax, number is on the request.
  • Or mail. Address is on the request.

Yes. We process and pay reasonable, standard record fees in accordance with state guidelines and provider requirements.

Just let us know. We will quickly provide any additional documentation required to fulfill the request and avoid delays. In most cases we have provided everything the federal and state laws require though and ask that you promptly fulfill the request. Don’t ever hesitate to reach out. Our team is happy to hear from you.

If records cannot be located, we ask that you provide a “No Records Found” confirmation so we can update the requesting party accordingly.

Yes. We regularly coordinate with major copy services and understand their processes, which helps reduce back-and-forth and delays.

We are HIPAA compliant. We follow strict internal processes and use secure systems to protect sensitive information throughout the retrieval process.
